Automated appointment reminders: fewer no-shows by email, SMS or WhatsApp
Every missed appointment is lost working time: in the practice, the workshop, the salon, the consultation. Most customers simply forget. An automated reminder with an easy cancellation link noticeably reduces no-shows and gives you the chance to fill the freed slot.
Which channel when
A combination of confirmation at booking and a reminder the day before works well:
- Email: cheap and good for confirmations with details, but often read late.
- SMS: high open rate, costs per message, short and direct.
- WhatsApp: high open rate and replies possible, via the Business API with approved templates and per-message costs.
- A call from a phone assistant: for older customers or high-value appointments.
What belongs in the reminder
Date, time, location with a directions link, what to bring and a link to cancel or reschedule. The cancellation link is the most important part: people who can cancel easily do so instead of simply not showing up. Then release the slot automatically or pass it to a waiting list.
If you've agreed a cancellation fee, kindly remind customers of the cancellation deadline. The fee must have been validly agreed beforehand; the reminder doesn't replace that.
Integration and data protection
Reminders run automatically when they're triggered directly from your booking system, calendar or practice or workshop software. Many systems can do this themselves; otherwise we connect them with tools like n8n or Make and an SMS or WhatsApp provider.
For reminders of booked appointments, the contract with the customer is the legal basis; they must not contain marketing. Name the services used in your privacy policy, sign processing agreements and keep health details out of SMS or WhatsApp; for medical practices, just "Your appointment tomorrow at 10".
Cost
Running costs arise per SMS or WhatsApp message and for the booking system. Every refilled slot offsets them. Setting up automated reminders with a cancellation link and integration with your system starts at €600 with us.
Frequently asked questions
- When should the reminder go out?
- The day before works well, plus a reminder a week earlier for long lead times. Too early and it's forgotten, too late and there's no time to refill the slot.
- Do I need consent for appointment reminders?
- For a reminder about a booked appointment, the contract is the basis. For marketing messages, however, you need consent.
- Does it work with our calendar?
- With most calendars and booking systems, yes, either directly or via an automation platform.
