Online table reservations: choose a system and reduce no-shows

Phone reservations mean interruptions during service, scribbled notes, misunderstandings and tables left empty because guests don't show up. An online reservation system takes bookings around the clock, reminds guests and makes no-shows manageable. This article shows what a good system must do and how to use no-show fees lawfully, with Germany as the example.

What a reservation system should do

Compare providers on these points:

  • A floor plan with table sizes, combinations and shifts so nothing is overbooked.
  • Bookings via website, Google profile and social media into the same calendar.
  • Automatic confirmation and reminder by email or SMS, with an easy cancellation link.
  • Notes on allergies, occasions and regulars.
  • A waiting list and release of tables cancelled at short notice.
  • Allocations: don't release every table online so walk-ins find a seat.

No-shows: reminders, deposits, cancellation fees

The cheapest measure is a reminder the day before with a cancellation link. Many guests simply forget; if cancelling is easy, they do it. For large groups, holidays or set menus, a deposit or a card on file pays off.

According to Germany's consumer advice centres, a no-show fee is generally permissible if validly agreed: the guest must be clearly told the terms and amount before reserving and actively agree, for example with a checkbox. The amount must reflect the realistically expected loss; excessive flat fees in terms and conditions can be invalid under Sections 307 and 309 no. 5 BGB. Guests must be allowed to prove that the loss was lower.

Reservations through Google and the website

Many guests reserve straight from Google Search or Maps. Check whether your system connects to "Reserve with Google", and put a reservation button on every page of the website. The booking flow should keep your website's design and work on a phone in under a minute.

Privacy and cost

A reservation system stores names, phone numbers and often notes on allergies, which is health data. Sign a data processing agreement, name the system in your privacy policy and delete old reservations after a defined period. Marketing to guests from the reservation system needs its own legal basis.

Providers charge a flat monthly fee or per guest; some platforms add fees for guests who come through their portal. We integrate your system into the website and connect it to your POS or CRM from €600.

Frequently asked questions

How high may a no-show fee be?
As high as the realistically expected loss, such as lost profit from the table. Excessive flat fees are open to challenge; guests must be allowed to prove a lower loss.
Should every table be bookable online?
Usually not. An allocation for walk-ins and regulars who phone keeps the restaurant flexible.
Can reservations flow into our POS?
With many POS and reservation systems, yes, via APIs. We check whether your systems fit together.
