Connect your website to a CRM: define data, ownership and exceptions first

A website-to-CRM connection becomes useful when an accepted enquiry reaches the right person with the right information. A newly created contact alone is not a complete sales process. Our brief separates data transfer, business handling and exceptions before a particular technical solution is chosen.

Describe contacts and enquiries separately

One person can enquire more than once. Decide whether each new message creates a work record, note or task and how it connects to a contact. In our example, an existing customer asks about an additional service. Their master data and new requirement should remain distinguishable. Match the proposed model to the capabilities of your actual CRM.

  • Which information belongs to the contact?
  • Which belongs to one enquiry?
  • What task reaches the responsible person?
  • How is an existing contact identified?
  • Which cases remain for manual review?

Agree field mapping with examples

Our template records website field, meaning, example, CRM destination, required status and behaviour when empty. Language can affect who replies and therefore needs a defined destination. An unknown budget must not accidentally become an amount of zero. Have business owners approve the rules before implementation.

  • Contact channel and name.
  • Description of the desired result.
  • Selected service and language.
  • Timing and budget including unknown values.
  • Enquiry source when reliably collected.

Define ownership and working status

Record who sees new work, how it is distributed and which status indicates initial handling. If assignment is impossible, the process needs a named fallback owner. A field marked new does not create responsibility unless someone actually handles the arrival. Agree with the team how accepted ownership becomes visible.

Separate repeats from transfer failures

Agree what a delivery retry does and how it differs from a new enquiry by the same person. Also establish whether the website enquiry is reliably stored when the CRM is temporarily unavailable. Implementation depends on both systems. The brief should name expected behaviour and ownership rather than assuming every transfer succeeds immediately.

Accept a traceable test series

Test a new contact, a new enquiry by an existing contact, repeated delivery of the same input and a temporary transfer failure. Check language, chosen service and unknown values in the CRM. Have sales work with the record. Log the outcome and open exception rather than only a technical interface message.

Organise operation and later changes

Name owners for transfer failures and changes to forms or CRM fields. Our handover package contains mapping, test cases, known limits and the recovery route. When a field changes, recheck the complete journey. Observe missing assignments and manual corrections to choose the next improvement.

Frequently asked questions

Is emailing a copy to sales enough?
It can be useful, but does not automatically settle ownership, status or follow-up. Decide from the intended working process.
Should every enquiry create a new contact?
Not automatically. Define the business distinction between the person and a new requirement, then match it to the CRM.
Is a direct integration always best?
That cannot be established without checking the systems. Start with data, rules and exceptions, then choose implementation.
When is the integration complete?
In our workflow, when agreed tests pass, staff can handle the records and responsibility for failures and changes is clear.

Tell us the form, CRM and intended first handling step. We can structure field mapping, ownership and acceptance together.
