AI agents for small businesses: where they save work and where they don't
An AI agent is a program that uses a language model to carry out several steps on its own: read an email, classify the request, look up data in the CRM, draft a reply. That sounds like replacing staff, but in practice it is something more modest and more useful: help with recurring tasks that follow clear rules, where a person checks or approves the result.
Where agents genuinely help small businesses
Good candidates share three traits: they happen often, follow recognisable rules, and a mistake can be caught before it does damage.
- Inbox triage: enquiry, invoice, complaint, spam, routed to the right person.
- Lead pre-qualification: spot missing details and ask before a person takes over.
- Data entry: move details from emails, PDFs or forms into the CRM or accounting.
- Drafts: replies to standard questions, a quote draft from a template, a call summary.
Where you should not use an agent (yet)
Anywhere a wrong decision directly costs money, legal standing or trust and nobody checks first: binding price commitments, cancellations, payments, legal or medical advice. Language models can be convincingly wrong. Always plan human approval for such steps.
Agents are also weak at processes your business has not defined. If three employees handle the same enquiry differently, an AI cannot reproduce it consistently. Document the process first.
What the cost is made of
One-off, you pay for describing the process, connecting the inbox, CRM or spreadsheets, the agent's rules and testing with real cases. Ongoing costs are language model usage, hosting the automation (for example self-hosted n8n or a cloud subscription) and regular monitoring.
Calculate the benefit concretely: cases per week × minutes saved ÷ 60 × hourly cost, minus running costs. At Onravetoni automating one process starts at €600; we check whether an agent pays off with exactly this calculation before you commit.
Start safely: one process, measured, with approval
Start with a single workflow that happens often and whose result a person can check in seconds. Let the agent only make suggestions for two weeks, compare them with the actual decisions, and only then switch individual steps to automatic.
Mind data protection: a data processing agreement with the model provider, no sensitive data without need, a log of decisions. If the agent talks to customers, label it as AI.
Frequently asked questions
- Does an AI agent replace an employee?
- Rarely in a small business. It takes over recurring sub-tasks so people have more time for customers and decisions.
- Which tools do you use?
- Depending on the case, n8n, Make or custom scripts with a language model. Our comparison of n8n, Make and Zapier explains the differences.
- Can my data stay in the EU?
- It can be set up that way, for example with n8n on an EU server and a model provider with EU data processing. We settle this before starting.
